System Fees & Rates

Since most properties have basic fees, we've included these in the settings, so they can be changed at anytime, system wide, without the need to make alterations to each individual accommodation, member, or other product.

Each Fee Purpose:

  • Day Pass: This is reserved for properties / resorts that allow members to visit for the day, but may not stay overnight. The Day pass fees are broken into 3 options:
    • Weekdays: Unlike reservations, weekdays are considered Monday through Friday.
    • Weekends:  Weekends are considered Saturday & Sunday
    • Events:  For regular events/holidays that are in your system's calendar, this is the rate that will be charged.
      • To disable any of these, simply set the fee amount to 0.
  • Pet Deposit & Pet Fee:
    • Pet Deposit, this is a fee charged per pet, per night. This fee can be refunded to the member once they are checked out of their accommodation. Make sure to inspect the accommodation for pet damages prior to checking out the member.
    • Pet Fee, this has become the most common method. This charges a non-refundable fee per pet, per night. This is a simple fee added if an accommodation allows pets. This is a more simple solution and prevents having to issue deposit refunds. If damages are found, all credit cards used for reservations will be on-file for incidentals, make sure your reservation terms and conditions state this.
    • *Only one or the other can be set, both deposit and fees may be set to 0 if you don't allow pets, or simply don't charge a fee. This setting is attached to each accommodation.
  • Membership Dues:
    • If your resort/property requires a membership, this allows you to charge annual dues. When dues are paid, they are updated for 1 year from the current date. If a member renews before their expiration, their renewal will be one year out from their current expiration date. This fee can be set to zero to disable charging dues. This is useful to specific property types that require private memberships and discreet members. To disable memberships entirely, see the turn off the Member Only feature in the system settings table.
  • Resort Fees:
    • This optional fee allows resorts/properties to charge an additional nightly fee to help cover the costs of superior/premium amenities.
  • Season Passes: *New Feature. Season Passes have grown in popularity for frequent visiting members, and offers a loyalty option for members.
    • Season Passes are annual passes that follow the calendar year. Season Passes will remain the same price until the month of July. If a member purchases a season pass in July or later, the season pass is prorated for the remaining 6 months. This can be set to 0, but if you're intention is to disable this feature, make sure to do so in the System Settings Table.
      • Example pro-rate. Annual Season Pass = $125.00, this is charged in full from December through June (Season passes purchased in December will apply to the following year). If a member purchases a season pass in July or later... ($125 / 12) = 10.42 x Months Remaining x 6 = 62.52 to be paid by the member.
